OVERVIEW & ROLE DESCRIPTION

A leading Facilities Management/ Real Estate Services company are looking to recruit a Contract Support Administrator to join their office based in Leeds on a permanent basis. They are looking to add to their current team to offer contract support for one of their biggest clients. This position will provide ongoing support to the office and contract management team. The ideal candidate will have a demonstrable background working within an FM administration role ideally with strong Excel experience / managing compliance data base.
Candidates with experience issuing work to engineering staff would be at an advantage.
This is role is available for an immediate start working Monday to Friday 0800 – 1700.

Duties:

Ensure QHSE documentation is maintained and readily available

Manage CAFM system as key user on site including PPM records, reactives and reporting.

Monitor and maintain the attendance planner.

Collate and process timesheets and expenses weekly.

Maintain people records such as new starters, leavers and any changes in staff.

Plan and arrange call outs, maintenance visits, delivery of materials, Extra Works within contracted SLAs.

Create monthly Customer Report with Contract Manager.

Ensure systems are in use and kept updated.

Attend and actively participate in weekly finance meeting with contract manager/subcontractors.

Create/raise Extra Works jobs.

Provide administration support for contract managers, team leaders, customer support supervisor customer support manager and engineers.

Experience/ Qualifications:
Must have a demonstrable background working within an Contract Support role.
Experience working within the facilities sector would be advantageous.
Strong IT skills.
Able to deal with multiple priorities.
Strong Communication/ Organisational skills.
Able to work on own initiative and work well with the contract manager.

Experience using CAFM systems
