OVERVIEW & ROLE DESCRIPTION

Overview

We are currently recruiting for a Service Co-ordinator on behalf of one of the largest manufacturers and installers of individually made-to-measure high performance retail, industrial and commercial doors.

Trading for over 45 years, they supply all types of steel doors, roller shutters, high speed doors and dock loading equipment. They provide specialist repair, maintenance and installation services for industrial and automatic doors. They have over 6 depots and over 150 members of staff working for them.

They offer their services to a range of sectors including commercial, industrial, retail, manufacturing, government, healthcare, education and leisure. Their clients include the likes of Asda, Costco, Currys, Severn Trent Water, National Grid, Manchester United and Arsenal FC.

The Service Coordinator will be responsible for planning and scheduling repair and installation jobs, allocating work to engineers and monitoring each job through to completion. This is a busy and varied position requiring strong organisational skills, commercial awareness and the ability to communicate confidently with customers, engineers, suppliers and internal departments.

This is a permanent position based in Tamworth, working Monday to Friday 8:30am – 5pm, paying £28k – £32k per annum depending on experience. You will also receive Pension, Training & Development opportunities and 23 days annual leave plus bank holidays.

 

Responsibilities

  • Schedule repair, maintenance and installation jobs to field-based engineers.
  • Allocate work according to engineer skills, location, availability and job priority.
  • Coordinate emergency call-outs and respond to changes in the daily schedule.
  • Maintain efficient engineer diaries and minimise unnecessary travel and downtime.
  • Communicate job details, access requirements and customer instructions clearly to engineers.
  • Provide customers with updates regarding appointments, attendance and job progress.
  • Monitor live jobs and take action when appointments, parts or information are outstanding.
  • Liaise with customers, engineers, surveyors, project teams and suppliers.
  • Review completed engineer worksheets for accuracy and completeness.
  • Check labour, travel, materials, parts and other job-related charges.
  • Ensure photographs, customer signatures, asset information and supporting documentation have been submitted where required.
  • Identify incomplete or inaccurate job records and obtain the necessary information promptly.
  • Close completed jobs correctly within the service management system.
  • Prepare jobs for invoicing and create accurate customer invoices.
  • Ensure purchase order numbers and agreed rates are correctly recorded.
  • Investigate and resolve invoicing queries in collaboration with customers and internal colleagues.
  • Maintain accurate customer, site, asset and job information.
  • Support the preparation of quotations and follow-on repair work when required.
  • Assist with service reports, work-in-progress reviews and operational performance information.
  • Follow company procedures and contribute to continuous improvements in service delivery.

 

Skills & Attributes

  • Previous experience in a service coordination, scheduling or planning role.
